Job Summary

This position directly supports and reports to the EVP & General Counsel.   The successful candidate will provide primary administrative support to a bi-coastal EVP. This is a highly visible position requiring exceptional communication and organizational skills as well as the ability to multitask with both internal and external audiences. The successful candidate will meet the competencies outlined for Executive Assistants (included below).

 

Responsibilities

·   Provides executive administrative support to the EVP managing and maintaining high call volumes, mail, contacts, soft/hard files, subscriptions, office supplies, IT requests, corporate services requests and more.

·   Will provide superior calendar management support via Outlook as well as strong Travel management duties. Will also manage and track all travel expenses.

·   Serves as a liaison for the EVP between both internal and external clients as well as Legal staff members. External contacts and communications are typically sensitive in nature. 

·   Manages confidential documents and information with the utmost discretion and confidentiality.

·   Track and administer payment of all outside counsel for services rendered.

·   Track and administer workload for all in-house legal professional counsel for services rendered.

·   Assists EVP in meeting preparation including collecting and dispersing pre-read materials, agendas and tracking action items for team meetings and projects, as needed.  Will function as project manager for departmental projects by tracking all work flow of the legal staff and putting together status reports, etc.

 

Qualifications

·   Must come equipped with at least 3+ years at the Executive Assistant/Legal Assistant level, ideally within a corporate executive office in Law Firm, legal department and/or a Media environment.

·   Strong Proficiency in Outlook calendar management, including Microsoft Word, Excel and PowerPoint.

·   Ideal candidate is passionate and has an affinity for the BET culture & lifestyle!

·   Must exude professionalism, maintain strong communication and showcase a polished demeanor.

·   Must have an innate ability to get the job done. Must be persuasive, proactive and extremely aggressive Results Driven!

·   Proven ability to manage multiple executive calendars and travel in a fast paced, high-pressure environment.

·   Must be meticulous and organized handling every day Business Administration functions in a proactive nature, Must be a go getter!

·   Must be reliable, dependable and pleasant.

 

Education

Bachelors Degree (in business-related field preferred but not required) a must.
